Optimize time and make the most of every minute of our day. It looks like a dream right?

'I don't have time.' How many times have we pronounced these words, feeling almost like a mantra in the frenzy of everyday life? This phrase has become the universal excuse behind which we hide, an invisible wall that separates us from our dreams and from the results to which we line up.

As I often repeat to my coaching customers: we have to take the time for important things, if we wait to find it we risk leaving incomplete what is mostly close to us.

With a little organization, awareness and some changes to our daily approach, we can change the rules of the game. Prepare to rediscover the time you thought you did not have and give a significant change to your personal and professional life.

Optimize time: 10 strategies

1. Chiara definition of priorities

Without a doubt the first thing to do concerns the definition of what is really important for you. Make sure it is a rather short list, no more than 3 /5 things, I suggest that one of these is taking care of you. Then make a list of daily and currency activities according to their importance and urgency. Focus on the activities that allow you to honor the 3/5 things that have the priority.

2. Tomato technique

Use the tomato technique to improve concentration: work intensely for 25 minutes and then take a 5 -minute break. This method promotes focus and prevents mental fatigue.

3. Delegation or eliminates non -essential activities

Evaluate which activities can be delegated to others or completely eliminate. Not all that is urgent is also important. Learn to say no tasks that do not align with your priorities (and I know how difficult it is!).

4. Use of planning tools

I am a proponent of the planning. Use time management apps, digital calendars, paper agendas (the one you prefer) to plan your day and week. Set of reminders for critical deadlines and appointments.

5. Planning of the inactivity time

You also include the time for rest and recreational activities in your planning. The inactivity time is essential for mental and physical charging, thus improving productivity in the working hours.

6. Analysis and adjustment

At the end of each week, make an analysis of how you used your time. Identify the improvement areas and consequently adjust your planning and your priority management strategies.

7. Setting of morning routines and exercise

Start the day with a morning routine that increases your energy level and puts you in a positive mental state. Regular exercise, even just a short walk, can significantly increase your energy and concentration ability (on the list of 3/5 really important things I suggested that you take care of you, remember?).

8. Limit the distractions

Identify your main sources of distraction (e.g. smartphones, notifications, social media) and try to limit their access during working hours. Consider the use of apps that temporarily block access to distracting sites and applications. In moments of concentration you can use the music in headphones to shield yourself from interference.

9. Strategic multitasking

Multitasking is not always advisable, there are times when it can be useful to optimize time. For example, I always listen to educational podcasts during my movements or physical training (by the way: I suggest you always move with a book, in case of moments of waiting you can invest time in something useful).

10. Take a break before adding new commitments

Before accepting new projects or commitments, before saying yes to the new opportunities, take a break and consider how they fit into your priorities and calendar. Avoid overloading you unnecessarily.

Now it's up to you!

The perception of never having enough time is a challenge with which many of us confront each other daily. However, as we have explored together, through small adjustments and targeted strategies, we can recover the control of our time and, consequently, of our life. Do not allow the excuse of 'I don't have time' prevents you from pursuing what is really important for you, we don't want to run the risk of sacrificing something that is close to our heart because we let something or someone has managed our time in our place!

Now you have knowledge and tools available to optimize your time. Choose at least one of the strategies presented in this article and commit to putting it into practice for at least a week. Whether it's better to define your priorities, to experience the tomato technique, or to limit the distractions, the important thing is to take the first step and remain constant in your commitment.
